BOOKING TERMS & CONDITIONS GLAMPING KENYA – TECQMENNE VERHELST Ltd
These booking terms & conditions, including any revised booking terms & conditions that we may post from time to time, state the terms & conditions under which Tecqmenne Verhelst Ltd Kenya – Glamping Kenya (“Glamping Kenya”, “we”, “us”, “our”) will provide hotel accommodation and tours to you (“you”). Please read these terms and conditions carefully.
Booking Process
- You can make a booking by using our online reservation system or via other channels.
- In order to secure your booking you are required to provide a 50% deposit payment or depending on your applicable accommodation rate. Rooms are subject to availability and any applicable taxes and/or service charges as advised during your booking process.
- In accordance with the rules and regulations of the lodge, all Kenyan residents have to provide a valid proof of identification (passport or national ID) to avail resident rate.
Payment Policy
- To confirm reservation, we will require a 50% deposit based on the total amount of the booking, and balance payment is due 30 days prior to arrival at the lodge. Full payment is required for bookings made 45 days prior to arrival or less.
- All payment shall be made by bank transfer or Mpesa to our company bank account, net of bank fees, National Bank Kenya or KBC Bank Belgium or using our online credit card payment gateway.
- All charges have to be settled upon check-out at the latest. If for any reason you do not pay the charges (or any part of them) upon check-out, then you acknowledge and agree that we may charge the outstanding charges, if applicable, to your credit card without prior notification.
- In the event of any changes in Government taxes, Glamping Kenya Lodge reserves the right to adjust rates proportionately
- In the event of a change in the value of the Kenya shilling or US Dollar by more than 5% by way of devaluation or a currency fluctuation, Glamping-Kenya (Tecqmenne Verhelst Ltd) may, in its discretion, increase the rates overleaf proportionate to the amount of such devaluation and with effect from the date of devaluation.
Cancellation / Amendments / No-show
- If you need to change or cancel your booking, it is your responsibility to notify us of such a request. Glamping Kenya must be notified via email to info@glamping-kenya.com . The cancellation will take effect from the day the written confirmation is received.
- Cancellations, amendments to your booking and/or no-shows will be charged in accordance with the applicable Glamping Kenya policy for your accommodation, as advised during your booking process:
- 61 days or more : 50% of the total costs will be charged
60 to 40 days: 60% of the total costs will be charged
39 to 31 days: 75% of the total costs will be charged
30 days prior to arrival, no show and under stay: 100% of the total costs will be charged
- You acknowledge and agree that, if applicable, we may charge the fee for the cancellation or amendment of your booking and/or no-show to your credit card.
Check-in and Check-out Times
- Glamping Kenya’s standard check-in time is 13h00 and check-out time is 11h00. Early check-in and late check-out will depend upon availability of the room at the time of arrival or departure. An additional fee may be applicable and will be advised at the time of booking.
- Please note that in case of under-stay, the lodge will charge for the full stay reserved and booked.
Taxes and Local Levies
- Your booking may be subject to taxes and local levies. As a result, you will be required to pay such fees and taxes (including but not limited to VAT) as applicable and in accordance with the existing legislation or any legislation that may be introduced in the future.
Registered Guests
- Only those persons stipulated on the booking form may reside in the lodge as guests. Please notify us as soon as possible of any changes. The number of people staying in the room must not exceed the maximum capacity agreed during the booking process.
- Glamping Kenya regrets that no pets are allowed on the entire property.
- Glamping Kenya does not allow any outside food or drinks to be brought to the lodge.
Valuables
- Any valuables left at the property are the guest’s sole responsibility. Neither Glamping Kenya nor the staff can be held responsible for any loss or damage of personal property.
Sustainability
- The electricity in all tents runs on solar energy. Each tent has its own solar system for electricity.
- This means that the sockets in the tent bedrooms can only be used for charging batteries, laptops, etc...
- The use of high-consumption appliances such as water heaters, hairdryers, heaters, etc…. is not permitted in the rooms as they can damage the batteries of the solar system.
Property Damage/Loss
- Guests are responsible for any loss or damage to lodge property, furnishings, fittings or equipment (including, without limitation, linen and towels), caused by you or by any of your visitors. Amounts required to remedy any damage caused will be charged at your sole expense.
Meals
- Glamping Kenya offers the choice of full board or bed and breakfast.
- In bed and breakfast the breakfast is included between 8am and 10 am. The guests can make their choice from the buffet and à la carte choice including one fruit juice and one cup of coffee, tea, chocolate milk or milk. Cappucino or others + kes 100.
- In full board you can enjoy the same breakfast + (packed) Lunch and dinner. The choice for lunch and dinner can be made from our extensive à la carte menu. Always starter + main + dessert.
- NO drinks are included.
Agreement
By making a reservation you expressly agree to the above conditions and do hereby agree to the application of the above Booking Terms and Conditions to our reservation.
Force majeure
Glamping Kenya Lodge will not be liable to its clients for any act of God or force majeure that disrupts a client(s) itinerary, any planned activities or experience at Glamping Kenya properties, if this results in Glamping Kenyas Inability to deliver the contracted services.

Tecqmenne Verhelst Ltd processes personal data in accordance with this privacy statement. For further information, questions or comments about our privacy policy, please contact info@glamping-kenya.com
Processing purposes
Tecqmenne Verhelst Ltd complicates and processes customers' personal data and images for customer and order management (including customer administration, successful orders/deliveries, invoicing, liquidation of solvency, profiling and sending marketing and personalized advertising).
Legal basis(s) for the processing
Personal data is processed on the basis of Article 6.1. of the General Data Protection Regulation.
To the extent that the processing of personal data appears to be based on Article 6.1. , the customer always has the right to withdraw the permission granted.
Transfer to third parties
If this is necessary to achieve the stated objective, the customer's personal data will be shared with other companies within the European Economic Area and Africa that are directly or indirectly connected to Tecqmenne Verhelst Ltd or with another partner of Tecqmenne Verhelst Ltd.
Tecqmenne Verhelst Ltd asks these recipients to take the necessary technical and important measures to protect the personal data.
Retention period
The personal data processed for customer management will be kept for the period necessary to meet mandatory requirements (including accounting). Image material will be kept for the period necessary to provide good service.
Right of inquiry, improvement, erasure, restriction, objection and portability of personal data
The customer has the right to inspect his personal data at any time and can correct them if they are removed or incomplete, have them removed, limit the processing based on this and object to the processing of personal data concerning him on the basis of article 6.1 (f), with sufficient profiling based on the provisions.
In addition, the customer has the right to obtain a copy (in a structured, commonly used and machine-readable form) of his personal data and to have the personal data forwarded to another company.
In order to exercise the above rights, the customer is asked to:
• adjust the settings of his customer account himself, and/or

Direct marketing
The customer has the right to object, free of charge, to any processing of his personal data for the purpose of direct marketing.
Complaint
The Customer has the right to file a complaint with the Commission for the Protection of Privacy (Drukpersstraat 35, 1000 Brussels - commission@privacycommission.be).
